Adding New Products
To add a new product, click the “New Product” button. Here you will find all necessary details to add a product with it’s image, variants, category association and it’s related products for cross selling purposes.
Product Title This field may contain letters and/or numbers. Enter the product’s name. Give each product a completely unique name.
Product Code Enter the code you wish to mark on this product. You may have a way of previously identifying your products e.g. n-001
Listing Description Enter the products short description to be seen directly under the Product title. Your listing description will also be the 'Meta' Description for this product page.
Keywords Enter any keywords specific to this product that also appears on the product page. This will help with search engine optimisation E.g. Your product may be a rose, so you would enter keywords like…. Red roses, long stem roses etc. Only enter the extra keywords specific to this product as the site wide keywords you have entered in the store settings page will add to whatever you enter here.
Brand If you have entered a list of Brand names in the “brands” section of admin, you will see them listed here. Select the brand associated with this product.
Our Price Enter the listing price you wish to sell this product for.
Retail Price Enter the price which your competitors are listing this item at. Your own listing price (our price) should be a little cheaper that the retail price. This price will appear with a strike through it on the storefront.
B2B Price This field will only show if you have enabled this extra functionality to your store. Contact an Ashop Commerce representative to have this set up, or do it straight from your admin.
Enter the “business to business” price you wish to sell this product for. This price will only appear to your members you have tagged as a B2B customer in your admin panel, they will need to log into your store using a username and password to see and purchase the B2B prices. This is sometimes called wholesale prices.
Helpful Tip: If you only apply a B2B price to a product and no “retail” or “our price”, the product will only appear to a visitor once they have logged in to your store and they are tagged by you as a B2B client. You can customise the display wording for the B2B price in the store settings menu of your admin.
Quantity Discount Template Select from the drop down list, the discount template you want to apply to this product. This will appear in the storefront under the items standard pricing.
Weight Enter the products weight in grams. This is used for shipping costs, postal companies charge according to weight of products.
Tax Free Product Tick this checkbox if you would like to exclude the cost of this item in the tax calculations you have set for your checkout. If multiple products have been purchased in your store then only tax free products will be excluded in the calculations, all other products will calculate the tax percentages. To set up tax calculations please go to your settings menu in your Ashop Commerce admin panel and select Tax editor.
Categories Double Click on the categories you want this product to show in alternatively click “add selected categories” button to summarise in the box below. You can also remove these categories In the window below.
Helpful Tip: If you have subcategories and wish to show this product as a feature item in the main category page, select the main category and the subcategory you wish the item to show in, then below, check the category special box.
Product Description Use the rich text editor to enter the products full description including tables etc. This will show when a visitor enters into the products detailed description in your store.
Digital Products Digital products should not be confused with downloadable goods. Digital means that you are able to sell individual product codes which can be used to either download a software or movies from a separate server or to sell such codes for e.g. phone cards, software codes or game codes.
First check the box available to activate digital goods and a new larger text box will appear below for entering the digital key’s.
Enter the key’s on a separate line each, as many as you like. Each key you enter will be sold only once and then deleted automatically. Click save when this is completed.
When you re-enter the edit page of the item you can click a new button to show assigned digital key’s which will open a window displaying all the active and used key’s as shown in the image below. You can delete any unwanted key from here also.

Digital Products
Product Image Upload the products image by browsing to the file on your computer and selecting it, select the enlarged image of this product. This image is recommended to be approx. 550 X 700 Pixels and should not exceed 100k.
You can check the Auto resize box to automatically resize the uploaded image to the default size which is viewable in the detailed section in each product in the store front.
You can also check the Auto Create Thumbnail box to automatically resize the uploaded image to a thumbnail size for your products quick view. Use the Browse button to select the thumbnail image of this product if you have not used the Auto Create Thumbnail option above. This image is recommended to be approx. 90 X 90 Pixels and should not exceed 10k.
Product Visibility Use the drop down menu to make this product visible on your store now or invisible if you run out of stock for example.
Home Page Special Tick if you want this product to show on your sites home page. There is a limit of one home page, if you have made too many products home page featured then it can create a second home page which creates display problems, the system is designed to have only one home page.
Category Special Tick if you want this product to show as a featured product above all others on the main categories page. There is a limit of up to eight featured products per category.
Page Sort Value Enter the page sort value of the item. This will rank the product on the stores page according to the number you place in here. E.g. If you have 20 items on this page and you sort this product as 5, then it will be ranked 5th on the page according to other items. If you have different items with the same rank, popularity will affect the ranking. A value of “0” will rank the highest on the page.
Stock Options
By selecting this option from the drop down list, you have chosen to have your products in the store to always be available; they will not run out of stock.
- Use Product-based Stock Levels
By selecting this option from the drop down list, you have chosen to specify the quantity of this product available, no matter what variants you have in place. Simply enter the quantity of the product and the warning levels (which will send you an email if stocks are low).
If you select to use advanced orders for when the stock runs out, your custom text will automatically appear and allow customers to purchase this product.
- Use Variant-Based Stock Levels
By selecting this option from the drop down list, you have chosen to specify the quantity of this products variants available. Simply enter the quantity of each variant and the warning levels. Variant based stock levels can only be applied to one variant group of a product such as ‘size’. Don’t forget to select the stock variant group you would like to apply the stock control to.
If you select to use advanced orders for when the stock runs out, your custom text will automatically appear and allow customers to purchase this product.

Variant Based Stock Control
Advanced Orders The Advanced orders option will only appear depending on which stock control option to specify to use.
Type any text you wish to appear if either stock runs out of this product or if you are adding this product specifically as an advanced order, in which case the text will always display to the customer and can be purchased. Be sure to check the box to activate the text.
Multiple Variants For variant groups to be displayed here here, you need to first add a new variant template in the Variant Template section of the admin panel. (See Variant Templates for details) Once this has been done, you may select as many variant groups as you like, e.g. size, colour and length. This group will then automatically open to display all variants associated with each group. You can further edit these variant fields from here.
Text variants Create variants which can be answered manualy by your customers. e.g. ask them how wide they want the blinds to be, and they can answer, 1.23m. This answer will be applied to the product and order, it will be displayed to the merchant on the detailed order page and the order email confirmation. You can add multiple text variants to a product and even set rules such as; Compulsory answering, a single line answer or multiple line answers, maximum characters allowed in answers. Here is an example of a multiple text variant applied to a product.

Related Products Relating products is a valuable cross selling tool. When you relate products to a particular item, the related products will show at the bottom of the detailed product view page. To set up a product relationship, select the product from the list and double click on it.
Once you have filled in all these fields, click on the “save” button to finish adding the product.
The Product will then be active to your customers in your storefront in the category you placed it in to. Question and Answers
Q) Where is the auto resize settings? A) Your product images have an auto resize setting in your settings menu under "store settings" From there you will be able to change the pixel height and width that your main image and thumbnail image resizes to when you upload a product.
Q) Can I re-size my originals photos? A) You can only resize your original uploaded photo through an external graphics program. Ashop only resizes the original image to the main product and thumbnail sizes but can not change your largest uploaded size.
Q) How do you measure pixels? (How can I see what the picture size is in Pixels) A) Pixel height and width is generally measured in a greaphics programe but you can check the size through your web browser. Find the image you want to check and right click, select Properties, on the pop up box you are given information including the dimensions and the file size of the image.
Q) Can I move the detailed description section from below the product image to right hand site? A) No but you can use the short (listing) description field to add a text description to the right side of the main product image.
Q) What is the difference between digital products and downloadable goods? A) a Digital product is a password or key that you can sell which the customer would use to access your products. The customer can download the product off a general custom page or another website. A digital download means that after payment the customer is actually downloadingt he product for sale, this may be an MP3 for example. Ashop does not support digital downloads.
Q) How many variants can I use to apply stock control for each product? E.g. Can I track the stock for colour and size for one product? A) Variant stock control can only work for controlling one variant group. I.e It can only do size stock control but not size and colour.
